How it works

How to use Event QR Code Generator

  1. Enter the event title and, if you like, the location and a short description.

  2. Pick the start date and time and an optional end — or tick All-day event.

  3. Choose local (floating) time for in-person events or a fixed UTC moment for online ones.

  4. Download the QR code for posters and invitations, and the .ics file to email or attach to a web page.

Why use it

Why use our Event QR Code Generator tool

Standard iCalendar format

Creates a properly escaped VEVENT that iPhone and Android camera apps recognise, so one tap adds the event to the calendar.

.ics download included

Get a complete RFC 5545 calendar file with folded lines, unique ID and timestamp for Google Calendar, Outlook and Apple Calendar.

Time zones done right

Use floating local time for a venue everyone attends in person, or convert from your time zone to UTC so remote guests see their own local time.

All-day and multi-day events

All-day events use date values with the correct exclusive end date, so a two-day conference shows as exactly two days.

Private and free

Your event details are turned into a QR code inside your browser. Nothing is uploaded, tracked or stored.

FAQ

Frequently asked questions

What happens when someone scans an event QR code?

Their phone reads the event details and offers to add them to the calendar app with the title, time, location and notes already filled in. Support is built into most Android camera and QR apps and into many iPhone scanner apps.

Should I use local (floating) time or UTC?

Floating time keeps the same clock time on every phone — 7 pm stays 7 pm — which suits a wedding, class or meetup in one place. Choose UTC for webinars and calls with people in other time zones; each phone then converts it to its own local time.

What is the .ics file for?

An .ics file contains the same event in the universal calendar format. Attach it to an email, link it from your website or import it into Google Calendar, Outlook or Apple Calendar — handy for people who can't scan the code.

How long can the description be?

Technically quite long, but every character makes the QR pattern denser and harder to scan when printed small. Keep it to a sentence or two and put full details on a web page or in the .ics file.

Why is the end date one day later in the code for all-day events?

In the iCalendar standard the end of an all-day event is exclusive — the first day after it. The tool adds that day for you, so you can simply enter the last day of your event.
